ECO is looking for (a) dynamic Project Coordinator(s) to provide support to the Directors Office of the Country Studies Branch of the Economics Department as well as its Divisions and the policy advice unit responsible for the Economics Departments country tailored policy advice work. The successful candidate(s) will carry out a wide range of logistical administrative and organisational tasks and will contribute to the efficient and smooth functioning of the Office / Division. S / he is expected to work closely with the other members of the Office to support the work of the Deputy Director / Head of Division and the team within the Office / Division. The ideal candidate will be a problemsolver with the ability to work flexibly learn quickly and carry out assignments with minimum supervision. The successful candidate will welcome the challenge of working in a vibrant fastpaced environment.

Main Responsibilities

Executive assistance

  • Coordinate line managers calendar of appointments organise meetings and manage the electronic agenda on his / her behalf; filter telephone calls answer enquiries (phone email in person) of a routine nature in both official languages of the Organisation; receive and assist visitors who are frequently highlevel officials.
  • Assist in organising the workload of the line manager by managing the flow and storage of information to his / her office and maintaining a schedule of action points.
  • Flag priority issues requiring immediate attention and ensure deadlines for priority / urgent messages are met. Take the initiative in following up on matters that do not require the line managers personal attention work closely with other team members for supporting projects.
  • Coordinate briefing material input prior to meetings and official travel liaising with internal and external stakeholders as required; provide supporting background material for the line manager prior to meetings and official travel and take note of any followup action required.
  • Ensure that meetings attended by the line manager are well prepared and supported.
  • Manage and coordinate the correspondence within the Directors Office / Division ensuring that letters going from the Directors Office / Division follow the correct protocols.
  • Foster and maintain good working relations with the correspondents of highlevel contacts of national delegations and administrations business and other international organisations and within the OECD. Ensure tact and discretion in all communications.
  • Work with other members of the Directors Office / Division to manage the effective flow of information and coordinate the work with other parts of the Countries Studies Branch the Chief Economists Office the Policy and Research Branch and other OECD Directorates. Regularly share information and maintain close collaboration with Division Assistants.

Project and event management

  • Contribute to the overall planning of projects and activities undertaken by the Directors Office / Division ensuring that deadlines are respected communication flows across team members and with other Directorates.
  • Assist in the organisation of inperson virtual and hybrid events such as Committee meetings coordinated by the Economics Department workshops meetings and conferences held both in Paris and abroad. This includes : meeting room reservation catering arrangements the preparation of relevant meeting documents agendas maintenance of participants lists registration etc.
  • Assist in the preparation of publications working papers and other official documents which may include formatting editing and proofreading in both official languages. Format documents ensuring conformity with the OECD Style Guide arrange their translation and distribute documents on OECD filesharing platforms (ONE Members and Partners) as needed.
  • Work closely with teams for launching publications liaising with COM and ECO communication team.
  • Administrative support

  • Prepare budget commitments payment confirmations and contracts for intellectual service providers invitations for consultants and experts and help monitor contract deliverables. Work in close cooperation with teams / desks and the RMU overseeing the process of payments in line with the contract and ensuring that external consultants are kept updated as necessary.
  • Prepare official missions undertaken by the line manager and other members of the team in cooperation with RMU and the travel agency. Prepare travel arrangements including travel and hotel bookings visa applications processing of expense claims upon return and other followup actions. Coordinate and provide organisational support for all official and associated social engagements.
  • Establish and maintain effective records management structured document retrieval and workflow management systems.
  • Assist with resource management activities and occasionally organising recruitment panel interviews.
  • Liaising with print shop for printing of publications brochures and other materials as needed.
  • Assist the line manager and other staff with daytoday requests and efficient running of the Directors Office / Division (e.g. room reservations for meetings office supplies virtual meeting platfroms reimbursement of expenses timekeeping and other).
  • Carry out other related duties as assigned ensure back up of other assistants in periods of heavy workload when necessary.
  • Qualifications :

    Ideal Candidate Profile

    Academic Background

  • Secondary level of education.
  • A university degree or other postsecondary education and training as an assistant would constitute an advantage.
  • Professional Background

  • A minimum of three years proven experience as an assistant or a personal assistant preferably acquired in an international environment. Executive assistance provided to a senior official would be an asset.
  • Excellent knowledge of the structure and activities of the Organisation and very good knowledge of and / or capacity to quickly learn the administrative rules and procedures of the Organisation with a particular focus on the procedures to be followed for the organisation of meetings and regarding official travel.
  • High degree of discretion and ability to work and communicate effectively and with tact and diplomacy in a multicultural environment with colleagues and all levels and with highlevel stake holders.
  • Experience managing conflicting requests according to strict deadlines and ability to work rapidly and accurately under pressure. Ability to work independently and to take initiative.
  • Tools

  • Excellent knowledge and experience in the use of the Microsoft Office Suite (Word Excel Outlook Powerpoint).
  • Very good command of a range of software applications used in OECD such as : eShare event management tool Conference Reservation Management System (CRMS) SAP and Concur missions SRM SRP O.N.E.) and the ability to adapt to new technologies.
  • Very good command of videoconferencing tools (Zoom Teams).
  • Languages

  • Fluency in one of the two OECD official languages (English and French) and knowledge of the other with a commitment to reach a good working level.
  • Knowledge of other languages including Spanish would be an asset.
  • Core Competencies

  • 12 month fixedterm appointment with the possibility of renewal to a maximum of 36 months.

    Please note that the appointment may be made at one grade lower in the specified job family based on the qualifications and professional experience of the selected applicant.
